Norwegian Research Information Repository (NVA) is a national shared service that collects publications and other research outputs, making them openly accessible.

Please note! The research support pages have been redesigned in preparation for the transition to the new National Research Information Archive (NVA). The transition has been postponed until 19 August, so not all information on these pages will be accurate until the system is in use.

How to register a research output in NVA

In NVA, there are three ways to register a publication/result:

  • Start with a link to the original version. This is the recommended method if you are registering an article in NVA. The associated file is automatically uploaded.
  • Start by uploading a file (full-text file of the article).
  • Start with a blank registration form, register the metadata, and finish by uploading a file if relevant.

Remember, publications associated with externally funded projects must include the project number. You can also link your research output to a research group in NVA. To do this, search for the research group when registering the article, or go to 'My Page' and 'Result Registrations,' then click on the edit pencil for the result you want to link to the project/research group.

How to register a research project or a research group in NVA

In NVA, there are two ways to register a project.

  • Projects funded by the Research Council of Norway
    • If the project is funded by the Research Council of Norway, NVA can retrieve some information from the Research Council's project database. You can do this by searching for either the project leader or the project name.
  • Blank registration form
    • Used to register projects with funding sources other than the Research Council of Norway.
    • Also used if you need to register a research group.
    • Please note: There can only be one project leader in NVA.
    • Information about publications and research outputs from the research group is automatically transferred to the research group's USN webpage.

Reporting instructions

The reporting guidelines outline the government's requirements for a scientific publication in health trusts, research and competence centers outside the specialist health service, the institute sector, and the university and college sector (higher education sector). The reporting instructions are updated annually.

Roles and responsilbilities
  • Academic staff are responsible for ensuring that scientific publications are registered in NVA.
  • Head of Departement review publication lists before reporting.
  • Superusers are responsible for quality assurance of metadata and approval of NVA entries.
  • Librarians ensure the quality and rights clearance of full texts uploaded to the repository before making them available. The Publication Committee evaluates potential disputes.
Details about roles and responsibilities
Academic staff

Must ensure that:

  1. Their own scientific works are correctly registered in NVA, cf. Routine instructions for reporting.
  2. All scientific publications linked to an externally funded project have the funder's project number included in the NVA entry.
  3. A full-text version of all scientific articles is registered in NVA. Most journals allow the submission of the final manuscript version after peer review (also called the post-print version). In cases where the journal permits the submission of the publisher's published PDF, it is recommended that this version be registered in NVA.
  4. NVA entries include a URL to research data archived in the USN Research Data Archive or another data repository.

Deadline: January 31

Head of Departement

The head of Departement receives lists of approved entries for their unit from the faculty superuser and confirms via email to the faculty superuser that the publications on the list are correctly categorized and should be included in the reporting.

Deadline: March 20.

The University Library (NVA)

Ongoing throughout the year

  • Each faculty has a superuser responsible for providing user support to the academic communities. See the overview of superusers.
  • Administrative control routines: Managing personal data, correcting missing p-persons, duplicate searches, fixing DOIs, following up on control lists from Sikt, etc.
  • Ensure that academic communities are updated with relevant information about deadlines and guidelines from funders and authorities.
  • Provide analyses and publication lists upon request, primarily based on data from completed reporting years.
  • All full-text documents uploaded to NVA must be quality-assured and rights-cleared before being made available. This involves ensuring that USN complies with publisher/journal guidelines regarding which version can be made available and whether the text can only be made available after an embargo period. If the wrong version has been uploaded, the superuser will contact the researcher who uploaded the text and request that a different version be uploaded.

 

In connection with annual reporting

  • The faculty superuser ensures the quality and approves all NVA entries for the faculty. Information about the number of authors, affiliations, and other metadata must be accurately recorded.
  • When reviewing entries, the superuser must verify that scientific articles are registered in NVA. If the full text (post-print version or the publisher's PDF) has not been submitted by February 1st, the superuser must send a reminder to the author from USN to ensure the full text is registered in NVA.
  • Act as a point of contact with other institutional superusers (especially for resolving potential disputes).
  • Report any disputes to the Publication Committee at USN.
  • Submit disputes to the National Dispute Committee. 
  • Conduct reporting in accordance with the National Reporting Instructions.
  • Prepare annual publication analyses.

National deadline for reviewing co-publications: February 21.

Deadline for submitting disputes to the National Dispute Committee: March 1.

Reporting to the Ministry of Education and Research/DBH: Usually April 1 (announced annually).

Roles and responsibilities were addressed in the Research Committee on 25 October 2019, case 9/19 (archive case 19/16015), and have updated wording following the transition to the Norwegian Research Information Repository (NVA) in fall 2025.

Information from NVA contributes to visibility in multiple places.

Publications on your employee profile

Log in to min.usn and click on "My Profile" to update your employee profile to automatically retrieve your research outputs from NVA.

Publication lists for research groups or projects you are a participant in
  • You can link your research output to a research group in NVA. You do this by searching for the research group when registering the article. 
  • Alternatively, you can do this afterward by going to "My Page" and "Result Registrations." Click on the edit pencil for the result you want to link to the project/research group.

Projects funded by the Research Council of Norway

National deadline for proposing new publication channels at Level 1.

If you have published or plan to publish scientifically, you must check whether the publisher or journal is included in the lists of approved scientific publication channels. If the publisher or journal is not on the lists, you must submit it for evaluation. On the Norwegian register's (Kanalregisteret) website, you can read more about how to proceed.
